East Cambridge council invests in Anite

East Cambridgeshire District Council has announced the organisation-wide rollout of an electronic document and records management system in a contract worth £164,000 rising to £215,000 over five years.

Anite@Work, developed by Berkshire-based IT-systems provider Anite, will enable more efficient and cost-effective record maintenance for the Council, providing access to shared information to facilitate customer service improvements and reducing the reliance on paper records.

The system will provide a ‘one-stop’ approach to the capture, storage, archiving, management and retrieval of information, encouraging Council-wide co-operation and enabling integration with other service providers and partners.

Andrew Killington, Executive Director at East Cambridgeshire District Council said, “The corporate-wide rollout of Anite@Work will enable more efficient ways of storing, amending and accessing information. It will ensure legislative compliance, reduce the cost of handling information and help to deliver improved public services.”

The system will also reduce the amount of time and money spent on document-management tasks.

Mike Kingswood, Managing Director of Local Government at Anite said: “With the drive for transformational government and joint working between public service organisations, department-based policies for document management, workflow and records management are now considered short-sighted. Anite is delighted to be supporting East Cambridgeshire District Council in simultaneously driving sustainable performance improvements and significant cost reductions through a corporate-wide initiative.”

Research by analyst Gartner suggests that the average document is copied nine to 11 times at a cost of approximately £9 — with the cost of filing each document at about £10, retrieving a misfiled document at £60 and replacing a lost document at £110.
